Brief Description of Duties: The Development Associate is a part-time position reporting to the Director of Institutional Advancement. This position will be responsible for ensuring efficient and effective operations and database management, participating in Development events and activities, and assisting with event logistics. These events include but are not limited to the annual Bids for Boosters, Green Tie Dinner, and CEF Golf Tournament. This position will assist with Alumni programming and communications; including the annual newsletter. The Development Associate must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work evenings and weekends.
Essential Functions of the Position:
Event Registration/Reservations: Create invitations/promotional materials, take reservations, assist in payment processing, answer all customer questions and concerns, and produce guest lists for all events.
Event Communications/Printing and Mailing: Write text for all invitations/events, coordinate event invitation printing and mailing, coordinate with mailing services all mail drop dates.
Event Planning: Negotiate all internal/external contracts, event space, food and beverage arrangements, ordering of supplies, equipment, giveaways, event signage, and make travel arrangements as necessary. Also provide periodic progress reports to the Director of Institutional Advancement for each event project.
Event Production: Serve as liaison with event venue contacts, manage onsite details, prepare nametags, materials, notebooks, packages, gift bags, registration lists, seat cards, etc. Close out all events with a final written report.
Alumni Newsletter: Prepare annual alumni newsletter and assist with quarterly online publications
Volunteer Group Assistance: Assist Catholic Education Foundation and Alumni Advisory Board with event planning and details and support other advancement staff as necessary in regard to event planning.
- Associate’s degree or pursuing a degree in Event Management or a related field
- Experience in development and coordinating special events
- Excellent communication, writing, proofreading and speaking skills
- Ability to manage multiple projects and work assignments from a variety of staff and volunteers
- Ability to work with a diverse multicultural population
- Proficient use of MS Office, mail merges, and the Internet
- Attention to detail
- Knowledge of Raiser’s Edge NXT
- Experience working with volunteers and volunteer boards
